Deposit Advice
OpenEmory currently accepts scholarly articles, books, book chapters, conference papers, presentations, posters, reports, and working papers that have been authored by Emory faculty, staff, and students. When submitting work to OpenEmory, you must have the right to reproduce and distribute that work openly on the web. Articles
The publisher may restrict which version of your article you can post in an institutional repository. You can determine what your publisher allows by checking the author agreement you signed when your work was accepted for publication. You can also search the Open Policy Finder database, which contains summaries of journal publishers' policies.
Below are definitions of the different versions of articles that have been accepted for publication:
- Original manuscript: the version submitted to the journal, prior to any peer review (aka preprint)
- Author's final manuscript: the version after peer review, but prior to publication (aka postprint)
- Final published version: the published PDF of the article as it appears on the publisher's website
Books and book chapters
Please check your book contract to determine if you retained copyright or have the publisher's permission to make your book or chapter openly available through an institutional repository like OpenEmory. If you have questions on your book contract, please contact the Scholarly Communications Office.
Conference papers
If your conference paper was published in a journal or conference proceeding, the publisher policy will determine whether we can upload the paper into OpenEmory, and which version you may post. You can find out what your publisher will allow by checking the author agreement you signed when your work was accepted for publication. You may also be able to find the publisher's policy in the Open Policy Finder database.
If your conference paper was presented, but not published, you are most likely the copyright owner, and the paper can be uploaded to OpenEmory, unless you signed an agreement transferring copyright.
Presentations and posters
Unless you signed an agreement transferring copyright, you are the copyright owner of your presentation or poster and may choose to upload a PDF (if you prefer the file not be easily edited), PowerPoint, or an image file.
Reports and working papers
If you signed an agreement transferring copyright, or the report or working paper was commissioned, you will need permission of the copyright owner or commissioning body. Otherwise, you are the copyright owner of your report or working paper and may choose to upload a PDF (if you prefer the file not be easily edited) or a Word document.
Datasets
OpenEmory does not currently accept datasets, but Dataverse, our data repository hosted by UNC, is available for dataset deposits. For assistance, please contact Jen Doty, Research Data Program Manager, or review the information on the Research Data website.
File types accepted by OpenEmory
The preferred file type for OpenEmory is PDF. In addition to PDFs, OpenEmory accepts Word documents, Excel spreadsheets, PowerPoint presentations, and image files. If you do not want your scholarly work to be easily edited, please submit a PDF. If you have questions or would like us to convert your files to a PDF, please contact us.
